5 Apps to Help You Work From Home

As we strive to stay connected, positive, and productive during these challenging times, remote work can feel like a double-edged sword. We may not have to commute or dress as formally, but it can be harder to focus on the actual work at hand. Not to mention, the isolation can be a downer.

To help keep your new WFH regimen balanced — we’re rounding out a list of five apps you should have on your radar to get the most out of your day but also remain in touch with friends and family

Keeping the Spontaneity and Joy of Conversations

Video chat apps are seeing a substantial spike in downloads while stay-at-home orders remain in place for the majority of the country. When working from home, it can be easy to feel pressured to constantly “be on.” Now more than ever, it is important to take the time for yourself and relax and connect with others and app developers are taking this into consideration.

Acquired by Fortnite maker Epic Games in 2019, Houseparty, for example, has seen massive growth throughout the COVID-19 pandemic. Per TechCrunch, the social networking app has seen 50 million downloads in a single month, a figure 70X above compared to pre-COVID levels in some markets. It’s currently the top-ranked social app in 80+ countries including the U.S., and #1 overall in 16 countries.

At a glance, Houseparty, billed the “face-to-face social network” is popular for its functionality that allows eight users group video chat via smartphone or desktop app. Tapping into other social networks including Facebook and Snapchat, it makes finding friends and family a seamless experience. The app alerts you when your friends are “in the house” and ready to chat and from there you can jump into a call or join another “party” and play games with quarantine friends like trivia and Ellen’s “Heads Up!”

The Makeshift Office

One of the largest changes introduced by COVID-19 is the global work from home movement. If you’ve been thrust into a remote work setup, there are a number of tools you can utilize to help make your new professional routine easier and fun.

There may not be that ideal replacement for those spontaneous conversations at one another’s desks or the office water cooler, but these apps deliver an element of spontaneity amidst the pre-mandated Zoom meetings, Slack threads and email chains we all need.

Loom

Launched in 2016, Loom is an enterprise collaboration video messaging service that allows for face-to-face time when you’re away from the office. Quickly record a video when you have a question or need to review a document or presentation as a group. Watch videos you receive from teammates when you’re in between tasks or meetings or taking a lunch break. To date, Loom is used by 2M+ users across more than 50k companies who record over 15 million minutes of video every month.

Around

Hitting the scene just last month, Around is the new video chat software targeted towards multitaskers.
Designed for laptop users, the app crops video call participants down to circles that float on your screen freeing up space for your other work in the background. It taps into auto-zoom functionality and noise-canceling features to ensure your face and voice remain in focus.

“People want to make eye contact. They want to connect. But they also want to get stuff done. Around treats video as the means to an end, not the end in itself,” explained Around CEO Domink Zane in a recent statement. Put simply, Around acknowledges the need for presence and connection today but designed so we have the proper space to remain in flow.

Screen

Screen is an interactive screen sharing app where everyone gets a cursor to control the window and collaborate across code, design, and writing.

A few concrete use cases of the app including chatting over audio or video calling in an overlaid window, overlay drawing on the screen to annotate items when working together in a document, and posting ephemeral text comments when someone else is speaking and you and other colleagues don’t want to interrupt. With Screen you can also launch meetings from Slack and schedule them with Google calendar integration.

Pragli

Think of Pragli as the Bitmoji for professionals.

Serving as an avatar-based virtual office, Pragli helps you know whether someone’s in a meeting, heads down on a deliverable, stepping out for a break, or unplugged for the day. Unlike Slack which can sometimes cause ambiguity as to whether someone is actually available or not, Pragli seeks to translate the real-world presence we’re unable to have today to the remote workspace.

In turn, you can make more informed decisions as to whether you do a quick audio call, reschedule a meeting for another day or time, send a chat message they can come back to later if the matter isn’t urgent, or schedule a longer video meeting.

“What Slack did for email, we want to do for video conferencing,” Pragli co-founder Doug Safreno explains. “Traditional video conferencing is exclusive by design, whereas Pragli is inclusive. Just like in an office, you can see who is talking to who.”

7 Poems in 7 Days – #Coronavirus #Lockdown – #CoronavirusPoems | #MikeArmstrongPoems

Hello Readers,

Please find my #7PoemsIn7Days #Coronavirus #Lockdown #Poetry Collection. I haven’t written any poetry since I was a kid (now 42) but I was inspired to write a Coronavirus Poem on Sunday 12/4/20 and decided to write one a day for the next 7 days.

#MikeArmstrongPoems – Number 1 – 12/4/20

Coronavirus Poem – Kick Corona’s Ass #KickCoronasAss

So Coronavirus is here, it’s made us all Lockdown.

Lots of us are unhappy, it’s even made us frown!

But as the storm clouds linger, a new dawn is awaiting.

A time for fun and laughter and no more self isolating.

Let’s cheer on all the NHS and others on the front line.

Lets clap and cheer on Thursday evenings and show them all a good time.

When Entrepreneurs pull together they can get a lot achieved.

Making Ventilators, Facemasks and lots of PPE.

So now’s a time to stay positive, and don’t let Covid Win,

Let’s stop the virus spreading, it’s time to all stay in.

Don’t get down for too long, as storms will always pass.

Keep motivated and positive and let’s kick Corona’s Ass.

An Entrepreneur Poem – How to make a Diamond #HowtomakeaDiamond

#Howtomakeadiamond

Diamonds are shaped in the Earth’s mantle, they take billions of years to form,

They start off as basic carbon, but under pressure they learn to perform,

Alone they would stay as Carbon, but by bonding they crystalise…

They take a transformation right before our very eyes.

So if you want to stay as Carbon, keep pressure far away,

Stay comfortable and relaxed, don’t try changing every day!

But if you want to sparkle, be coveted or desired!

Get busy all day building, work hard until your tired!

When you learn to adapt and change and handle all the pressure!

You’ll learn to bond with others and life will become much better.

So don’t delay but start today and build your pressure fund,

It won’t be long until your strong, a high class, solid diamond 💎

The Upside of Coronavirus- #CoronavirusUpside

After weeks in total Lockdown, we’ve had plenty of time to reflect…

On all our real values, and what we can affect.

Lots of things in life are outside of our control!

But staying connected with loved ones, has to be our goal.

When the going gets tough, the tough get going,

we need to thank our front line staff, by ways that keep on showing.

We can get through any crisis when we stand strong together,

It not just now that we’ve proved that, it’s been like that forever!

So use this time to reconnect with all the people you did forget.

Learn lots of new things and have some fun, take your hours exercise and get out in the sun.

It won’t be long until Lockdown’s over and normal will return.

But hopefully much better now, with what we did all learn!

Coronavirus Business Poem #CoronavirusBusinessPoem

As a business forced to isolate, being under Lockdown isn’t great.

We’ve been forced to furlough staff and close down the shutter.

“This isn’t fair”, we quite rightly mutter.

However we have to stop the spread of this disease,

Or it will rip through our population with so much ease!

How long we’re shut for, no one does know,

So we keep preparing until it’s time to grow!

If we can adapt to home delivery and the Internet,

we can keep on trading and that’s a safe bet.

But if not, we’ll keep on Marketing & building friends,

Preparing our business for when this all ends!

So whatever the case we’ll continue to stay strong,

and get through this Lockdown – no matter how long!

The Lockdown Choice – A Coronavirus Poem #LockdownChoice

When in Lockdown over Coronavirus,

we need to search down deep inside us.

We need to decide to live in so much fear,

Or learn to let that fear disappear!

Those in fear will panic and moan,

over eat, stay unhealthy and stay stuck all alone.

Whilst those that are optimistic, happy & positive,

will learn new things, stay healthy and choose to still live.

You can’t manage things beyond your control,

But you can choose your response, so make positive your goal!

Avoid negative people and negative press,

And anything else that will add to your stress.

Be thankful for the extra time and leisure,

And for doing more things that gives you some pleasure.

The Lockdown won’t last for too long,

Then life will continue, the show will go on.

Hopefully you will heed my advice,

Decide to enjoy Lockdown and make it quite nice.

How to Navigate the Wall! #HowToNavigateTheWall

If you can’t get around the wall, don’t get upset and quit,

Stay Strong and in Control.

Work on a way that will fit!

If you can’t get around the Wall, try to get over the Wall,

Don’t let nothing stop you,

not even if you were to fall.

If you can‘t get over the Wall, don’t quit because of your fall,

Just pick yourself up and stand tall.

You will learn to get over the Wall!

When trying to learn how to get over the Wall.

Gain new tricks, you can do it, don’t stall.

Use your skills, don’t give up, try them all!

Be determined to defeat that Wall,

Go under the wall if you can,

Just don’t give up, be a Man!

If that doesn’t work, then don’t be a jerk, drive through that Wall in a Van!

Fight The Negativity #FightTheNegativity

Everyday under Lockdown we hear about death and destruction,

But not about joy, success or construction!

The papers are full of negative news,

there’s nothing in them to keep us amused!

The media show us daily the infection rates getting higher,

But there not a lot said to give us that fire.

So choose an alternative whilst Lockdown days are so long,

give yourself lessons, and exercise yourself strong,

Do all the things you usually don’t have time to complete,

Contact family & friend but don’t over eat.

Take you hour a day exercise and take in all the views,

Get your mind motivated read #PositiveCoronavirusNews

Business, IT & Work From Home Advice From IT Support 4 U In Ireland…

Zoom Bombers.jpeg

Numerous instances of online conferences being disrupted by pornographic images, hate speech or even threats can be mitigated using some platform tools.

Officials at Zoom have released tips for users of their video-conferencing platform to help avoid getting “Zoom-bombed” by trolls and even more serious threat actors during online meetings.

The developers of the online video-conferencing service cautioned users to avoid sharing Zoom meeting links publicly and widely on social media and to use some simple management tools within the system to help avoid scenarios in which uninvited participants disrupt meetings in unpleasant and threatening ways.

“As more people use our platform and host their virtual events using Zoom, we wanted to offer up tips to ensure everyone joining an event does so with good intentions,” according to a recent Zoom blog post on the topic. “Like most other public forums, it’s possible to have a person (who may or may not be invited) disrupt an event that’s meant to bring people together.

The company posted in response to numerous reports of threat actors upending Zoom meetings with hate speech such as racist messages, threats of sexual harassment, and pornographic images that drive meeting participants offline or force the meeting to be abruptly cancelled. Some of the attacks have even go so far as to threaten those attending the meeting with physical harm.

Zoom has become the de facto platform for the post-Covid-19 business environment as the pandemic has forced workers to stay at home while still conducting every-day business.

Organizations ranging from corporations to small businesses to schools to fitness instructors and even therapists are now meeting clients online using Zoom amid the quarantine and stay-at-home orders that have rolled out globally in the wake of the coronavirus’ rapid spread.

However, it didn’t take long for threat actors to sabotage this new way of conducting business by using public links to hop on meetings to shock, taunt or scare users.

zoom bombers 2.jpeg

In one such episode in California, unknown participants crashed a school-district Zoom meeting with chants of the N-word, cackles, pornographic images, and even threats that they would find out the home addresses of the attendees. Another Zoom-bombing occurred during a meeting hosted by Mexican food chain Chipotle, which experienced disruption by a pornographic image, one of the attendees reported on Twitter.

A journalist and contributor to the New York Times Kara Swisher and collaborator Jessica Lessin were forced to shut down a Zoom meeting about challenges women tech leaders face after just 15 minutes because a participant bombed it with the shock video “2 Girls One Cup,” Lessin reported on Twitter. The uninvited participant switched between accounts so the hosts could not block the disruption, she said.

The uninvited participant switched between accounts so the hosts could not block the disruption, she said.

With the kind of situation the world is facing today, many business owners are worried. COVID-19 may not directly affect many businesses, but it does affect their workforces.

In China, for example, early this year, they have decided to lock down many cities. This forced people to stay in their homes, leaving offices unstaffed. Companies were in turn forced to implement work-from-home arrangements and those that were caught unprepared faced problems.

This can happen to anyone at this time. As the number of COVID-19 cases around the world continues to rise, so is the possibility of instituting similar lockdowns. Thus, any business owner would be wise to prepare a business continuity protocol.

China Town.jpg

Basically, the idea of business continuity centres around keeping your business running despite any major event like the COVID-19 pandemic. If your staff is not around to run your business processes, what would you do?

Forcing your team to go to the office is not an option. Their safety should always be a priority. With that, your business should have these measures in place in case everyone has to stay home.

COMMUNICATION

Remote teams need reliable channels of communication to keep a business going. Free chat apps like Facebook Messenger would work, but they aren’t always the best.

For one, message threads are not quite organised in these apps. Usually, the most recent messages appear on top, followed by later ones as you scroll down. But it’s not always the most recent message that’s the most important.

Privacy is another issue. What is sent in a group chat can be seen by every member of the group, so what if you have a message intended only for a few members? That means another group chat has to be created just for that purpose. This is totally inefficient, as the team members would get overwhelmed with so many different group chats.

Communication software that is tailored for businesses is the better option. The popular app Slack, for example, allows users to create separate threads, each with its own privacy settings. With this, each unique topic can have its own thread and only specific people can see each one.

These apps also support voice and video calling, which is important in case you would want something similar to a face-to-face meeting. It’s just like having a virtual boardroom with everyone just in their homes.

PROJECT MANAGEMENT

Some teams coordinate all of their activity through chat apps. However, when it comes to deliverables, there are certain roadblocks in these apps that can make you and your team members less productive.

One problem is that important messages would get lost in threads over time. It’s very hard to scroll up a conversation that has dozens of messages to find them. The search function may work, but what if you don’t know what to look for?

This is where Project Management software comes in. Think of Trello, Basecamp, or Asana. These apps combine communication with task assignment, delegation, setting deadlines, and many others.

With these apps, information is organised similar to online forums, where there are specific pages for specific topics. With this, the important things are much easier to find. This would also ensure that questions, comments, and suggestions are related to those topics only. That way, you would avoid having a mishmash of messages on the same thread.

CLOUD STORAGE

If your team were to work remotely, they would need a way to send, receive, and store files off-site. While email can work for this, it is just too cumbersome especially when your team regularly exchange files with each other. An example is when a single pitch deck gets updated often.

For a more efficient way to pass files amongst each other, cloud storage solutions like Dropbox or Google Drive are the best. With these, you can synchronise files across all members of your team. So if one person edits a document, everyone else can access that edited version.

Another advantage is that your files are stored in the cloud. So in case someone’s computer malfunctions, the files in the cloud are still there. Everyone else still has access to them.

Cloud storage solutions also have privacy settings. This way, you can restrict access to sensitive files to only a few people.

With these measures in place, you can protect your business from the fallout of the COVID-19 pandemic. More so if you have the expertise of a managed IT services company by your side.

The threat of the novel coronavirus and COVID-19 has reached pandemic levels. This has forced so many companies to implement work from home setups for their employees, as more and more cities are put under strict quarantine measures.

However, despite how advanced our technology is these days, many business owners admit that it is still quite a daunting task to set up systems that allow their teams to work from home.

To ease the burden, here are the basic things you would need to know about work from home setups.

COMPUTER

The workhorse of the modern workplace is the computer. Either desktops or laptops are fine, as long as they can accomplish the tasks that your teams must get done. Your employees may already have computers of their own, so there is often no need to buy separate ones for them as you implement remote working procedures.

MONITOR

When working from home, not just any monitor will do. To get the most out of a monitor, a spec called resolution is something to take into account. Resolution refers to the number of pixels that a monitor can accommodate. Common ones are 1366×768, 1440×900, and 1920×1080 pixels.

A resolution of 1920×1080, also known as ‘Full HD’, is a good starting point for monitors. It provides a good deal of vertical space for working with documents and spreadsheets, and it also has a lot of horizontal space for design software. Full HD monitors can work well for most employees.

If the functions of your business require greater screen space, then consider investing in higher-resolution monitors like ones with ‘Quad HD’ resolution, which is at 2560×1440 pixels. This is perfect for professionals who want to get the most out of their virtual workspace.

Monitors can also do wonders for laptop users. Having an external monitor allows them to work on two screens at once, or they can use the monitor as their main screen if the laptop screen has a low resolution.

PROJECT MANAGEMENT

One important thing for remote teams is the delegation of tasks. People need to know who tasks are assigned to, to whom they should address any concerns, and how to prioritise their work. This is exactly what project management software can do, and more. Apps like Basecamp, Asana, and Trello are software tools that enable you to manage your teams from a distance. They also allow real-time communication, file sharing, and collaboration all in one app.

REMOTE DESKTOP PROTOCOL

Windows users can take advantage of the remote desktop capability of the operating system. The biggest advantage of this is that an employee can access his work PC from home, which removes the need to transfer files, install programs, and set up credentials in the home PC. In other words, using remote access will be as if the employee is in the office.

INTERNET CONNECTION

Working from home demands an internet connection that is stable and reliable. This is especially true for work that involves bandwidth-intensive tasks like video editing, animation, and teleconferencing. Thus, it is best to have a wired internet connection, such as DSL, cable, or fibre-optic.

The best consistency of network access can be ensured by high-speed, unlimited-data fibre-optic internet connections. Though a bit more expensive, they are the most reliable, especially for real-time collaboration and teleconferencing.

ROUTER AND LAN

Typically, telcos provide a router to each of their clients. This is essential as it provides internet access to all of your devices. For smartphones, Wi-Fi is the only option. For PCs, however, it is better to connect them through a LAN cable.

Set up your remote working

Wiring the computer to the router works better as LAN cables have higher bandwidth capacity than Wi-Fi, as well as faster transmission speeds. This means that the connection to teleconferencing software, cloud-based apps, other internet-dependent systems remains fairly consistent all day. Wi-Fi is prone to interference and dropouts, which bring down productivity. Wired LAN, however, rarely encounters those issues.

In this time of a great global health crisis, your business does not have to go down. Remote work setups can do wonders, and can allow your business to thrive even in these trying times.

Here at IT Support 4U, we understand that many people need help in setting up remote work processes for their teams. Our expertise as a managed IT services provider in Wicklow is here to lend a hand. Give us a call today and let us know how we can help you.

Work from Home Advice…

With the Coronavirus/ COVID-19 affecting everything from international travel to the availability of hand sanitiser, mitigating COVID-19 across the globe has become a growing concern. That’s why many Government are telling companies to let as many employees as possible work remotely until the virus can be slowed.

Plenty of people fantasise about working from the comfort of their own home, foregoing their daily commute in favor of more sleep, family or exercise time.

Working remotely however can be a double-edge sword.

On the plus, you get to stay home and spend more time with your family but it can be harder to focus on actually working. Whether it’s a pile of laundry that suddenly looks more appealing than your bosses’ to-do list, or a quick three-hour Netflix binge, staying productive at home can take a bit more effort.

Plus, the isolation can quickly become a downer for those used to socialising at work. Some people, would prefer to stay in the office.

So, first thing’s first: you should probably sit up straight, eat some breakfast and get dressed.

How else can you stay focused on the job and mentally healthy while working remotely?

Here are some tips from work-from-home veterans and workplace experts.

Set a dedicated work location

Try to find yourself a dedicated and comfortable spot to work in that you can associate with your job and leave when you’re off the clock — that means get off the couch, and definitely out of bed. A dunning room table or home office can work well.

It definitely helps if you have a dedicated space for working from home.

Setting up a dedicated home office where you can close the door and shut out distractions can pay dividends.

You can also go to local libraries to take advantage of their free Wi-Fi etc. out if Lockdown conditions, but under lockdown then staying at home is a must.

Find a Buddy Or Colleague that you can call when needed…

You might find it easier to be productive without your most chatty coworkers constantly buzzing in your ear but social interactions, even with colleagues, can alleviate feelings of isolation and loneliness.

Durham University’s Dr. Thuy-vy Nguyen, who studies the effects of solitude, thinks the psychological effects of working remotely for extended periods is often overlooked or ignored, despite it being an essential factor in our mental well-being and team bonding.

“We’re used to social interaction,” she says. “It facilitates cooperation and closeness.”

To help fill the socialising gap while working remotely, Nguyen recommends finding a colleague you can call when you’re feeling the need to chat with someone. Alternatively, buddy up with a friend who works elsewhere and is going through the same experience. Hopping on a social video call or phoning, instead of just texting or emailing can be a good idea too.

Have a Work from Home Plan…

Nguyen also recommends that, when working alone, you should keep a more structured daily schedule than usual.

“Usually our time and the structure of our day are influenced by other people,” she says. “You’re going to experience your day as lacking the normal structures that you usually have. People might have a hard time dealing with it. So one of the things that we found in our trying to understand solitude, is that time spent alone is better if it’s structured.”

Remembering to schedule multiple breaks throughout the day, in order to do some things that you enjoy, can help to keep you productive for the long term..

Think About How You’re Communicating

Haughey says it’s important to go beyond email and use other digital tools that can better replicate the in-person office experience and provide for clear communication.

“There will be a sense of isolation of course, and it depends on how well your team communicates, or how much they’re willing to amp up communication using other tools besides face-to-face conversations,” he says.

Harvard Business School’s Prithwiraj “Raj” Choudhury, who studies remote work and the relationships between geography and productivity, found an interesting solution to boosting camaraderie among remote workers: pizza parties. While researching remote work habits at the U.S. Patent Office, which implemented a more robust “work from anywhere” policy in 2011 — Choudhury discovered a manager who hosted weekly lunches via videoconferencing.

“She would order the exact same pizza to be delivered at the same time so the team would have that bonding experience and still feel like a team,” says Choudhury. “This is the future of work, so we cannot just keep doing stuff in the old familiar ways, we have to create new processes.”

Furthermore, better communication while remote can help maintain your relationship with your colleagues, managers, and direct reports. It’s also important for managers to encourage employees to share their opinions or concerns about a particular project so they don’t feel like they’re being dismissed just because they’re not in the same room.

Remember Everyone Works Differently

Managers should remember that not every employee actually wants to work from home, a shift that can be stressful for some. As companies increasingly have more and more employees working from home, during the coronavirus outbreak, and maybe even beyond, it’s key that they get their employees to communicate with each other as much as possible and especially try more to help employees that are struggling with the change, says Nguyen.

“If management actually forces people to stay at home, then that would add another layer of stress,” she says. “Giving employees as much information as possible can ease the burden caused by the disruption.”

Still have regular meeting…

If you need to still have regular meeting then utilise me a Face to Dace meeting app like Zoom can ensure that you and your team can get together to chat regularly in order to keep that team spirit and camaraderie together.
